Minningarrit íslenzkra hermanna

Privacy Policy

Effective 2026-10-10

This site publishes a historical archive of Icelandic-descended soldiers who served in World War I, drawn from the 1923 memorial volume Minningarrit íslenzkra hermanna. This policy explains what data is processed when you visit, and by whom.

Who we are

This site is published under the Icelandic Connection project. For any question about this policy, or to exercise a data protection right described below, contact [email protected].

What data is processed

This site is delivered through Cloudflare, which acts as our content delivery network and security provider (and, separately, as processor of some of the data described below), and is served from a web server that the project runs itself.

Cookies

The public pages of this site (the homepage and the soldier database) do not set any cookies. The only cookie anywhere on this site is a session cookie (PHPSESSID) set on the internal /ips/ proofing area used by project volunteers to log in and manage archival material — it is strictly necessary for that login to function, is not used for tracking or advertising, and is exempt from consent requirements under the ePrivacy Directive.

The soldier database

The biographical records, portraits, and other material in the database describe individuals who served in the First World War (1914–1918) and are no longer living. Data protection law (including GDPR, per Recital 27) applies to living individuals, not deceased persons, so this historical content falls outside its scope. If you believe an entry concerns a person who may still be living, or that we have made an error, please contact us at the address above and we will review it.

Suggestions you send us

Each soldier’s page has a form to suggest a correction. If you use it, we store the topic you choose, your message, which soldier it is about, and the time. You may also give an email address. That is optional, and it is used only so that one of the project’s editors can write back to you. The form sends nothing by email: the editors read the suggestions when they sign in to the internal proofing area. Legal basis: your consent for the email address (you can leave it out), and legitimate interest in keeping the records accurate for the rest.

To stop the form being abused, we also keep for 24 hours a scrambled (cryptographically hashed) value derived from your IP address. It is used only to limit how many suggestions one visitor can send in an hour, it cannot be turned back into your address without a secret key that the site holds, and your IP address itself is not stored. The form sets no cookie.

Please do not put sensitive personal information about yourself in a suggestion. We keep a suggestion as part of the editorial record of the entry. An email address stored with a suggestion is deleted automatically 90 days after the editors have dealt with it, and sooner if you ask.

Third parties

Cloudflare, Inc. is the only third party that processes data in connection with this site, in its role as CDN/security provider and analytics provider. See Cloudflare's privacy policy for how it handles data, including safeguards for any processing outside the EEA/UK.

Data retention

Network logs and analytics data are retained according to Cloudflare’s own policies. Our web server’s access logs are kept for about two weeks and then deleted. Suggestions are kept as described above: the address hash for 24 hours, and an email address until 90 days after the suggestion has been dealt with. The rest of a suggestion is kept as part of the editorial record.

Your rights

If you are in the EU, UK, or another jurisdiction with similar protections, you may have the right to request access to, correction of, or erasure of personal data concerning you, to object to or restrict certain processing, and to lodge a complaint with your local data protection authority. This includes an email address you left with a suggestion. To exercise any of these rights, contact [email protected].

Changes to this policy

If this policy changes, the effective date above will be updated.
